Item Views

Overview

When you first navigate to items and click the View (button) you are presented with a list of items. The list of items is available in two views: Default and Estimating. The report can be filtered and amended to provide you with the information you need.

List View: Default View

Buttons Explained

ButtonDescription
ViewGenerates a list of items based on the selected filters.
RecentLists the recently viewed items for quick navigation.
NewCreates a new Item.
Actions
  • Batch Update: Allows changes to all the selected items when Update (button) is clicked.
    • Account: Adds or removes the selected account.
    • Category: Changes the items' categories to the selected category.
    • Clear Image: Deletes the Image from all the selected items.
    • Costing: Changes the Status of the Items' Costings.
    • Customer: Changes the items' customers to the selected customer.
    • Image: Includes two buttons:
      • Check Size: Checks the size of images for existing items (items created before this feature was introduced).
      • Resize: Resizes the image to be smaller or equal to the kb entered in the adjacent block. This process changes the resolution of the image and cannot be undone.
    • Inventory: Changes the Inventory checkbox to be either checked (inventory item) or unchecked (not an inventory item).
    • Make: Changes the Make, linked to the item, to the selected make.
    • Model: Changes the Model, linked to the item, to the selected model.
    • Reference: Changes the items' reference to the new reference typed in.
    • Resolve: Changes the existing resolve option to the selected resolve option.
    • Status: Changes the items' Status to the one selected on the adjacent dropdown list. The options are Active, Review or Inactive.
    • Subcategory: Changes the items' subcategories to the selected subcategory.
    • Supplier: Updates the supplier to the one selected.
    • Entities: Changes the entity to the selected entity.
    • Tracking: Changes the items' tracking options to the selected tracking option.
    • Type: Changes the items' type to the selected type.
  • Update Checklist: Updates the selected items' Checklists.
  • Format Descriptions: Formats the selected items' descriptions so each word starts with an uppercase letter.
  • Online Library: Import items from an online database (mostly applicable to the printing industry).

  • Reset Data Filter: Resets the selected filters.
  • View Changelog: Displays a list of changes.
  • Views:
    • Default: Displays a list of items with columns available for most of the descriptive information (e.g. description, category, location).
    • Estimate: Displays a list of items with columns shown that are applicable to Estimating (e.g. unit, waste %, dimensions).
    • Assets: Displays a list of items classified as assets with purchase and depreciation information.

    • Email Excel: Opens the default email template with the list attached in .xlsx format.

Filters Explained

FilterDescription
SetSelect a Date option from a dropdown list.
⬅ ➡Adjusts the date based on the date selected under Set.
DateAvailable on certain date options. Further refine the report dates.
CategoryA dropdown list of all the categories from which users can select a specific category or all.
SupplierA dropdown list of all the suppliers from which users can select a specific supplier or all.
LocationA dropdown list of all the Inventory Locations from which users can select a specific location or all.
TypeA dropdown list of all the item types from which users can select a specific type or all.
StatusA dropdown list of all the statuses from which users can select a specific status or all.
DataA dropdown list with:
  •  All: Shows all the items.
  • Pass: Shows only items that pass their checklists or have no checklists.
  • Fail: Shows only items that fail their checklists and shows the failure reasons in the checklist column.
InventoryA checkbox. If checked, only shows inventory items.

Fields Explained

FieldDescription
Field Chooser (*)Add or remove columns.
ID / RIDA system-generated number for the item.
StatusThe current Status of the item which can be Active, Review, or Inactive.
DescriptionThe user-provided Item's Description.
NoteShows any Note created for the item.
SpecificationShows Specification information.
ReferenceThe user-provided Reference.
CodeThe Code, short description or abbreviation of the item's description.
MakeThe item's Make as selected from a lookup list.
ModelThe item's Model as selected from a lookup list.
CategoryThe item's Category.
Customer CodeThe Customer Code selected in the item's header information.
Supplier CodeThe Supplier Code selected in the item's header information.
SubcategoryThe item's Subcategory.
TypeThe type of item. Options are:
  • Assembly: The item contains a Costing.
  • Material: A tangible item that can be kept in Stock.
  • Service: A labour item costed on Hourly Rate and Time.
  • Other: Used for items that are not one of the above. NB. These items cannot be added to Estimates.
TrackingWhether the item is tracked:
  • N/A: Not tracked.
  • Batch: Tracked by Batches from receipt to final product.
  • Serial No.: Tracked using their Serial Numbers, for example, electronic goods.
  • Yield: Tracked by the item's expected Yield Quantity (as entered).
Yield QtyIf the item is tracked by Yield, the Quantity that the item should yield.
ChecklistIf the Data Filter is set to Fail, this column will show a summary of the Checklist Items which are highlighted green for pass or red for fail.
ResolveThe Resolve option chosen for the item.
EntitiesThe entities linked to the item.
CustomerThe name of the customer selected in the item's header information.
LocationThe item's Location if the item is linked to a customer. The location is as per the customer's records (e.g. if a machine is serviced, the location of the machine).
SupplierThe supplier linked to the item.
UnitThe item's Base Unit (Inventory Unit).
InventoryThe inventory location option (None, All Locations, Fixed Location).
Status NoteDisplays the Note that is typed onto the item's status bar.
CostingThe Status of the Costing.
Updated byThe User who last updated the item.
UpdatedThe Date of the last update.
Image (kb)The size of the image. For existing items, the size is only displayed if it has been checked. It can be checked using batch updates in List View or in Edit View by clicking Actions (button) > Check Image Size on the image section.
ImageA checkbox. Checked if an image is attached.
Menu (...)A submenu to:
  • Open Item: Opens the item.
  • Copy Item (Complete): Copies the item to make a new item. Will copy the Costing (tab) and set the Costing Status to Draft.
  • Copy Item (Excluding Costing): Copies the item to make a new item but excludes the Costing (tab).
  • Delete Item: Deletes the item.
  • ViewItem Summary: Displays a Summary of the item's information and transactions.
  • View Audits: Displays the Users and Dates on which the item was changed.
SupplierThe name of the Supplier selected in the item's header information.
EntitiesThe entities that the item belongs to.

List View: Estimating View

Buttons Explained

ButtonDescription

Actions
  • Batch Update: Allows changes to all the selected items when Update (button) is clicked. The options are:
    • Adj %: Changes the adjustment % to the number typed in the adjacent block (e.g. 4 for 4%).
    • Caption: Changes the Costing's Caption to the new caption typed in the block.
    • Depth: Changes the Depth to the new depth typed in the block.
    • Description: Options to select if the item's Description appears in the Estimate. Options are:
      • N/A: The Description is not included in the estimate.
      • Description: The Description is included in the estimate description.
      • 1 x Description: The Quantity and Description are included in the estimate description.
    • Height: Changes the Height to the new height typed in the block.
    • Qty: Changes the Quantity to the new quantity typed in the block.
    • Qty Calc: Changes the calculation that determines the quantity in custom estimate types to the one typed in the adjacent block.
    • Qty Type: Changes the Quantity Type to the new type selected from the dropdown list. Options are:
      • Fixed: Fixed Quantity
      • x: Costing is multiplied by the number of items (x) produced.
      • x Size: quantity is calculated based on the size of the item.
      • /: Divide by the Quantity.
      • x Hr/s: Relates to Services used in Est Qty x Hours.
    • Round Up: The integer the costing must be rounded up to that is typed in the block.
    • Status: Changes the Status of the Costing to the new status selected from the dropdown list. Options are:
      • Inactive
      • Active
      • Active – Don't Adjust
      • Budget
      • Budget – Don't Adjust
    • Waste %: Changes the percentage of items wasted during production to the percentage typed in the block.
    • Width: Changes the Width to the new width typed in the block.
  • Format Descriptions: Formats the selected items' descriptions so each word starts with an uppercase letter.
  • Online Library: Import items from an online database (mostly applicable to the printing industry).

List View: Assets View

Buttons Explained

  • Batch Update: Allows changes to all the selected items when Update (button) is clicked. The options are:
    • Asset Type: Changes the Asset Type to the type selected from the dropdown list. The options are:
      • Machine
      • Equipment
      • Furniture & Fittings
      • Vehicles
      • Land & Buildings
    • Department: Changes the department to the one selected from the dropdown list. The dropdown list is populated with departments as per the Organigram.
    • Months: Sets the number of months over which the asset is depreciated.
    • Purchase Date: Sets the Purchase Date to the date selected from the calendar.
    • Purchase Value: Changes the Purchase Value to the amount typed in the adjacent block.
    • Residual Value: Changes the Residual Value to the amount typed in the adjacent block.
    • Start Date: Sets the Date to start calculating depreciation to the date selected from the calendar.
    • Start Value: Sets the Value from which to start calculating depreciation to the value typed in the block provided.
  • Format Descriptions: Formats the selected Items' Descriptions so each word starts with an uppercase letter.

Miscellaneous

  • By default, a red Warning bar is displayed when the Description on an Item is blank, or the Code has been duplicated.
  • The visible tabs on the Edit View are determined by the Menu > Set Tabs functionality or the Category. (Values are stored in the VIEWDATAID field.)
