Custom Reports Tutorial
Overview
- A custom report shows your data as a list (the Data Grid). Reports with pivot fields also have a Pivot Grid with a chart.
- Each report is an SQL query. Creating reports needs some knowledge of SQL, or QuickEasy can create them for you.
- For every button, field and setting on the screens, see Custom Reports.
💡These tutorials explain how to view custom reports, create and change them, add filters, pivot grids, charts and drilldowns, give users access and fix common problems.
How to View a Custom Report
- Navigate to Custom Reports.
- Select the report from the dropdown list.
- Set the filters that appear, for example, the date range or the customer.
- Click View (button).
- If the report has a pivot, click Pivot Grid (tab) to see the pivot and its chart.
- To open the record behind a row, right-click the row and select the option, for example, Open Transaction or View Customer Summary. These options only appear if the report has a drilldown.
- Note: When the report has extra information, i (button) turns blue. Click it to read the information.
How to Create a Custom Report
Note
- You need the user setting Setups > Reports Setup - Access Allowed. Without it, Edit Reports shows "Access denied.".
- The Fields tab only updates from a valid SQL query. If the message "Invalid SQL, fields not updated." appears, correct the query.
- Navigate to Custom Reports and select Menu (button) > Edit Reports.
- Click New (button).
- Complete the header:
- Name = Enter the report's name.
- Description = Enter what the report shows.
- Code = Enter a short name.
- Click Edit SQL (button), enter the report's SQL query and save it. The Fields tab now lists the query's fields.
- On Fields (tab), set each field's Caption, Alignment, Summary, Decimals and Visible as needed.
- Click Save (button).
- Give the users access to the report (see How to Give a User Access to a Report below).
How to Change a Report Safely
- In Edit Reports, click Menu (...) on the report and select Copy Report.
- Make your changes on the copy, and test it on the Custom Reports screen.
- When the copy works, make the same changes on the original report.
- Delete the copy: Menu (...) > Delete Report.
How to Add a Filter
Info
A report's filters come from the parameters in its SQL query. These parameters show as filters:
- :DATESTART and :DATEEND: A date range.
- :DOCID: Trans No.
- :SMID: SM No.
- :CUSID: Customer.
- :SUPID: Supplier.
- :REPID: Rep.
- :OPERATORID: Operator.
- :USERID: User.
- :CCENTREID: Cost Centre.
- :ACCOUNTID: Account.
- :MATCATID: Item Category.
- :MATUNITID: Item.
- :ENTITYID: Entity.
- :ACTIVEUSERID: The user who runs the report (no filter is shown).
- Open the report in Edit Reports and click Edit SQL (button).
- Add the parameter to the query's conditions, for example,
where T.TRANSDATE between :DATESTART and :DATEENDfor a date range, orand T.CUSID = :CUSIDfor a Customer filter. - Save the SQL and the report. The filter appears the next time you select the report.
How to Add a Pivot Grid and Chart
- Open the report in Edit Reports.
- On Fields (tab), set Pivot Grid for the fields to use:
- Row = The values down the side, for example, the customer.
- Column = The values across the top, for example, the month.
- Data = The numbers to add up, for example, the total.
- Filter = A field to filter the pivot by.
- Click Save (button).
- Note: The report now has a Pivot Grid (tab) with a chart. On the Dashboard, a report with a pivot shows its chart.
How to Add a Drilldown
- Open the report in Edit Reports.
- Make sure the SQL query returns the ID of the record to open, for example, TRANSID for a transaction or CUSID for a customer.
- Under Drilldown in the header, select the field that holds the ID next to its module: Transaction, Customer, Supplier, Item, Detailed Ledger, Workflow or Filename.
- Click Save (button).
- Note: Users can now right-click a row and select the matching option:
- Open Transaction
- View Customer Summary
- Open Customer
- Open Supplier
- Open linked Item
- Open Detailed Ledger
- Open File
- Note: Users can now right-click a row and select the matching option:
How to Give a User Access to a Report
Access can be set for a user (all their reports) or for a report (all its users).
For a User
- Navigate to Main Menu > Setup > Settings > Users (tab) and double-click the user.
- Find General > Reports - Access Allowed and click Edit... in the Value column.
- Move the reports the user may view to the Selected section.
- Save the settings.
For a Report
- In Edit Reports, click Menu (...) on the report and select View/Edit User Access.
- Move the users who may view the report to the Selected section, and click OK (button).
How to Add a Report to a Menu or the Dashboard
- Menu: In Menus, add the report to a Menu Group with the Report radio button (see Menus).
- Dashboard: Add the report's ID to the user's Dashboard settings (see How to Set Up Your Dashboard).
How to Move a Report to Another Database
- In Edit Reports, click Menu (...) on the report and select Save to File. Save the .qer file.
- In the other database, open Edit Reports and click Load (button).
- Select the .qer file. The report is added. If the message "Invalid Report file." appears, the file is not a report file.
Troubleshooting
| Problem | Solution |
|---|---|
| The message "Please select a Report." appears | Select a report from the dropdown list before you click View. |
| The message "SQL Error. The SQL on the selected Report is invalid." appears | The report's SQL query has an error. Correct it in Edit Reports, or contact QuickEasy. |
| The report is empty | Check the filters, for example, the date range, against the data you expect. |
| The report is missing from the dropdown list | You do not have access to it. Ask your administrator to add it to your Reports - Access Allowed setting. |
| The message "Access denied." appears when you open Edit Reports | You need the user setting Setups > Reports Setup - Access Allowed. |
| The Output button is unavailable | The report has no Output Template, or it returned no rows. |
