Shifts

Overview

  • Shifts (previously Work Shifts) are used to set up all the different hours that various departments and staff work.
  • Each shift is customised by selecting the day and setting the start and end times.
  • Ideally, multiple shifts should be created for each day to account for lunch times: For example, 08:00-12:30 and 13:30-16:30
  • Once created, shifts are allocated to staff.
  • In Production Planning, the work hours of the staff member as defined by the shift is considered in scheduling tasks.
  • When a shift is updated, a table (WORKSHIFTSCHEDULING) is populated with the shifts from one year back and for the next ten years. This table makes scheduling easier and can be updated by clicking Actions (button) > Rebuild from Edit View
  • If a shift contains a blank Day or Time, the shift table is not updated.
  • A 24-hour shift must be setup like this: Mon 00:00 > Tue 00.00.
  • Shifts are used for scheduling in the following modules:
    • Production Board.
    • Production Planning Stages.

Buttons Explained

  • Add Shift: Opens an interface to add an additional work shift.
  • Rebuild Shifts: Updates the shifts in the shift table that is used in production.

Fields Explained

  • Field Chooser (*): Allows users to add or remove columns.
  • ID: The system-generated number for the shift.
  • Description: The name of the work shift.
  • Code: A short description of the shift. The code is displayed when allocating shifts to staff.
  • Menu (...): A submenu with the following options:
    • Edit: Edits the work shift.
    • Copy: Copies the work shift to create a new shift.
    • Delete: Deletes the work shift.

Edit View

ℹ️ Fields can be edited by overtyping the information or by adjusting the times from the time choosers.

Buttons Explained

  • Arrows: Navigates between shifts.
  • New Shift: Creates a new shift.
  • Save: Saves any changes.
  • Actions: 
    • Batch Update: Options to change certain fields of all the selected records when Update (button) is clicked and the change is confirmed. The options are:
      • Day Start: Changes the start day of the shift.
      • Day End: Changes the end day of the shift.
      • Time Start: Changes the start time to the one selected in the adjacent field.
      • Time End: Changes the end time to the one selected in the adjacent field.
    • Rebuild: Rebuilds the work shift tables. This task is necessary if the work shifts were edited.
    • Copy: Copies the work shift to create a new work shift.
    • Delete: Deletes the work shift.
  • Close: Closes the Edit Work Shift popup.

Fields Explained

  • Click here to add a new row (top row): Allows a shift to be added.
  • Field Chooser (*): Allows users to add or remove columns.
  • ID: The system-generated number for the entry.
  • Description: An editable field to change the name of the shift (e.g. Monday early shift).
  • Day Start: A dropdown list of all the days of the weeks for users to select the day on which the shift starts.
  • Start: A time chooser to select the shift's start time.
  • Day End:  A dropdown list of all the days of the weeks for users to select the day on which the shift ends.
  • End: A time chooser to select the shift's end time.
  • Menu (...): A submenu to Copy or Delete the entry.
