Staff

Overview

The My Organisation interface provides for all the staff details to be captured, including payroll information, notes, and attachments.

List View

Buttons Explained

  • Add Staff: Opens a form to add a staff member's details.

Filters Explained

  • Active (checkbox): If checked only Active staff members are shown.

Fields Explained

  • Field Chooser (*): Allows users to add or remove columns.
  • ID: The system-generated number for the staff member.
  • Status: The status of the staff member.
  • Full name: The full name of the staff member.
  • Code: The name by which the staff member is known.
  • Cost Centre: The cost centre to which the staff member is allocated.
  • Stage: The Production Stage for which the staff member is an operator.
  • Shift: The staff member's shift (work shift).
  • Position: The staff member's position. Positions can be created or edited from Menu (button) > Edit Positions.
  • Email: The staff member's email address.
  • Cellular: The staff member's mobile phone number.
  • Telephone (H): The staff member's home phone number.
  • Operator: A checkbox. If checked the staff member is an operator (e.g. in charge of a production stage or a machine).
  • Rep: A checkbox. If checked the staff member is a sales representative.
  • Image: The word Image.
  • BOS User: Checkbox. If checked the staff member is a registered BOS Enterprise user.
  • Menu (...): A submenu allowing entries to be edited or deleted.

Edit View

Buttons Explained

  • Arrows: Navigates between staff members.
  • Add: Adds a staff member.
  • Delete: Deletes the current staff member's details if it has not yet been used.
  • Save: Saves any changes.
  • Menu: Layout.
  • Close: Closes the Edit staff popup.

Fields Explained

  • Title: A field to type the employee's title (e.g. Mr, Ms, Dr).
  • First Name/s: A field to type the employee's first names.
  • Surname: A field to type the employee's surname.
  • Code: A field to type the name by which the employee is known.
  • List as: A field to type the name that should appear on lookup lists.
  • Status: The status of the employee as selected from the dropdown list. The options are: Pending, Active, Terminated.

Contact:

  • Mobile: A field to type the employee's mobile phone number.
  • Tel - Home:  A field to type the employee's home phone number.
  • Tel - Work:  A field to type the employee's work phone number.
  • SMS:  A field to type the employee's phone number for messages.
  • Email:  A field to type the employee's email address.

Addresses:

  • Postal:  A field to type the employee's postal address.
  • Street:  A field to type the employee's street address.

Company:

  • Position: A dropdown list of positions to select one. Positions can be added or edited from the Menu button on List View.
  • Sales Rep: A checkbox. If checked the employee is a sales representative.
  • Image: A right-click context menu from where an image in .jpg or .png format can be uploaded.
  • Production & Timekeeping (tab)
    • Operator: A checkbox. If checked the person is an operator for production planning purposes.
    • Stage: A dropdown list of stages to select the person's default stage. Only applies if the person is an operator. Helps to find tasks quicker in timekeeping.
    • Cost Centre: The default cost centre for which this person is an operator.
    • Shift: The person's shift for production planning purposes.
    • Rate (Hr): The person's hourly rate. If a cost centre is selected and this field is left blank, the cost centre's rate is used.
    • Rate (Km): The rate per km for this person.
  • Payroll (tab)
    • ID Number:  A field to type the employee's ID number.
    • Birthday: A calendar to select the employee's birthday.
    • Gender: A dropdown list to select Male or Female as the employee's gender.
    • Marital Status: A dropdown list to select the employee's marital status from this list:
      • Single
      • Married
      • Divorced
      • Widowed
    • Started: A calendar to select the date on which the employee started.
    • Probation: A dropdown list of positions to select the employee's position.
    • Termination: A calendar to select the date on which the employee was terminated.
  • Note (tab): A field to type a note.
  • Attachments (tab): A list of attachments. Attachments can be added using Add Attachment (button) and providing a link or selecting a file.
  • User Fields (tab): If there are any custom user fields, they are displayed here. Else the tab is blank.
