Transactions - Extra Datasets

Overview

Transactions can include additional fixed datasets or User-defined fields. These fields are normally placed in the transaction's header.  The fixed datasets are outlined below.

Contract Billing

Navigation: Main Menu > Setup > Settings > Transactions (tab)

The setting: Transactions > Enable Contract Billing can be added to transactions. It has a checkbox in the Value column. If checked, the feature is enabled, and the following fields are added to the transaction:

  • Meter (DOM): The day of the month that meter data is recorded. Applicable to contract billing that is based on meter readings.
  • Billing (DOM):  The day of the month that the contract is invoiced.
  • Billing Method: A dropdown list of billing methods for users to select one.
  • Escalation: Field to input a Percentage that is added as an escalation.
  • Month:  A calendar to select the Month that the escalation is applied to.
  • Serviced by: Select from a lookup list consisting of Suppliers, Customers, Staff, Entities, and Departments.

Procurement

ℹ️ The setting should be added to all the transactions in a transaction flow. For example, Requisitions > Purchase Order > Supplier Invoices. The procurement fields are also copied when one transaction is copied to the next.

Navigation: Main Menu > Setup > Settings > Transactions (tab)

The setting: Transactions > Enable Procurement/Purchasing can be added to transactions. It has a checkbox in the Value column. If checked, the feature is enabled, and the following fields are added to the transaction:

  • Requestor: A dropdown list of active staff for users to select one.
  • Department:  A dropdown list of departments for users to select one. (As created in the Organigram.)
  • Head:  A dropdown list of active staff for users to select one.
  • Manager:  A dropdown list of active staff for users to select one.
  • Priority: A checkbox. If checked, the transaction is a priority.

Import / Export

Navigation: Main Menu > Setup > Settings > Transactions (tab)

The setting: Transactions > Enable Import/Export can be added to transactions. It has a checkbox in the Value column. If checked, the feature is enabled, and the following fields are added to the transaction:

  • Provides all the fields required for an Import / Export Commercial Invoice.
  • Additional fields are displayed according to the Inco term that is selected.
