Stock Quantities
Overview
BOS Enterprise works out four stock quantities for each item at each location:
- In Stock: What is on the shelf.
- Reserved: What is set aside for orders and not yet issued.
- On Order: What is ordered and not yet received.
- Available: In Stock less Reserved.
This guide explains which transactions move stock, how each quantity is calculated, and where the quantities appear.
What Moves Stock
A transaction line moves stock when all of these are true:
- Its Resolve is Receive, Issue, Order or Reserve (or Batch, which is set automatically for batch transfers).
- Its header status has the Inventory checkbox checked (see Statuses).
- Its item status also has the Inventory checkbox checked.
- It has a stock location and a quantity.
Resolve Options Explained
| Resolve | Effect on stock |
|---|---|
| N/A | None. |
| Receive | Adds the quantity to In Stock. |
| Issue | Takes the quantity off In Stock. |
| Order | Adds the quantity to On Order. |
| Reserve | Adds the quantity to Reserved. |
| Purchase / Produce | None: they mark items to buy or to make. |
Info
- The Resolve options a Transaction Type offers are ticked under Resolve in its properties (see Transaction Type Properties). Without any, the Resolve column is hidden.
- A new line gets the item's own Resolve if the Transaction Type allows it; otherwise the first allowed option in this order: Order, Reserve, Receive, Issue, Purchase, Produce.
- Items with Inventory set to None have no location, so they never move stock.
When Stock Updates
- Saving a line rebuilds its stock movement, so changes to the quantity, unit, location, Resolve or status are applied at once.
- Changing the transaction's status, date or From location updates all its lines.
- When the transaction moves to a status without Inventory, its stock movements are removed. A cancelled status therefore only removes stock when Inventory is not checked on it.
- Deleting a line removes its stock movement.
- The stock movement is dated on the transaction date.
- Rebuild All on the Inventory screen rebuilds the stock movements of all transactions and stock checks (see Inventory Default View).
Units and Locations
- Quantities are converted to the item's base unit with the unit's conversion factor (X on the item's units). See How Units Are Converted.
- Each item has a stock record per location. A line's location comes from the Transaction Type's default location setting, or the item's only location.
- A location that the item does not have yet is created for it when a line uses it.
How the Quantities Are Calculated
| Quantity | Calculation |
|---|---|
| In Stock | All receipts less all issues, plus the stock check adjustments. |
| On Order | For each Order line: its quantity less the quantities received on lines copied from it. Only the part not yet received counts. |
| Reserved | For each Reserve line: its quantity less the quantities issued on lines copied from it. Only the part not yet issued counts. |
| Available | In Stock less Reserved. On Order is not included. |
| Available (Inc Orders) | Replenishment only: Available plus On Order. |
Info
- Reserved and On Order go down only when the receipt or issue is copied from the order line (see Copying Transactions), at the same location.
- The quantities are rounded to the decimals in the setting below, and a quantity of 0 is shown blank.
- The quantity for all locations is the sum of the locations' quantities.
Stock Checks
- When a stock check is set to Complete, the difference between the counted and the estimated quantity is added to In Stock on the stock check date.
- The estimated quantity is In Stock on the stock check date. So, after the check, In Stock on that date equals the count.
- Setting the stock check back to Pending, or deleting it, removes the adjustment (see Stock Check).
Quantities on a Date
- Only In Stock can be shown for a past date: it counts the movements dated up to that date.
- With a date filter, the Inventory screen shows the opening and closing quantities and the received, issued and adjusted quantities for the period instead of In Stock, On Order, Reserved and Available.
Where the Quantities Appear
- Inventory: In Stock, On Order, Reserve and Available per item and location (see Inventory Default View).
- Replenishment: also Available (Inc Orders) and Available (Exc Orders) (see Inventory Replenishment).
- Item Summary: the Inventory tab, per location (see Item Summary).
- Transaction items: the In Stock column (at the line's location, in the line's unit) and the location list.
