Organigram

Overview

  • The Organigram feature can be used to define the company structure by including Departments, Heads and Staff.
  • The feature is included in the My Organisation module.
  • A user must have access to My Organisation to view or edit the Organigram.
  • You can View the Organigram in a Tree or Chart view 

Navigation: Main Menu > Setup > My Organisation > Organigram (tab)

Buttons Explained

  • Add to Organigram: Adds additional fields to the organigram.
  • + -: Collapses or expands the Tree view.
  • Refresh: Refreshes the data.
  • Menu: Switches to one of these views:
    • Tree View
    • Grid View
    • Chart View

Fields Explained: Tree View

  • Status: A status icon which represents the type of person / entity and text indicating the status. Status options: Vacant (Yellow), Active (Blue), In-Active (Red).
  • Type: The type of entry.
  • Name: The name of the entry.
  • Code: The short name of the entry. The code can be up to 50 characters long. All the Department lookups display the Code (e.g. Transactions, Ledger, Service Manager).
  • Description: The description of the entry.
  • Updated by: The user who last updated the organigram.
  • Updated: The date on which it was last updated.
  • Menu (...): A submenu with the following options:
    • Edit Organigram: Opens a popup to edit the information or change the status.
      • Status: Select Vacant, Active, or Inactive.
      • Type: Select Company, Branch, Department, Head, Manager, Staff, or Trainee.
      • Parent: A dropdown list of other entries to select this entry's parent.
      • Name: A field to type a name for the entry.
      • Code: A field to type a short name for the entry.
      • Description: A field to type a description for the entry.
    • Add to selected Item: Allows one of these items to be added to the selected item:
      • Company
      • Branch
      • Department
      • Head
      • Manager
      • Staff
      • Trainee
    • Move Up: Moves the entry one line higher.
    • Move Down: Moves the entry one line lower.
    • Clear: Clears the information.
    • Delete: Deletes the line.

Fields Explained: Grid View

  • Status: The entry's status: Vacant (Yellow), Active (Blue), In-Active (Red).
  • Type: The type of entry with a colour-coded icon.
  • Company: The name of the company.
  • Branch: The name of the branch.
  • Department: The name of the department.
  • Name: The name that matches the type (e.g. Staff's name, or Department's name).
  • Code: The short name that matches the type. The code can be up to 50 characters long. All the Department lookups display the Code (e.g. Transactions, Ledger, Service Manager).
  • Description: The description of the entry.
  • Updated by: The User who last updated the organigram.
  • Updated: The date on which it was last updated.

Chart View

  • Provides a visual representation of the Organigram.
