Mobile App - Approvals
Overview
This module is used to manage Approvals in BOS Enterprise.
The Approvals feature allows users to review and approve requests and transactions from anywhere.
Navigation: BOS Mobile App > Login > Approvals (tile button)

Transactions Awaiting Approval
Transactions appear on the Transaction List View when the following conditions are met:
- The Transaction uses Checklists.
- The Transaction is in the Approval status.
- There are Outstanding Checklist Items linked to the Transaction.
- The User can approve one or more of the Outstanding Checklist Items (as User or as Admin).
Transactions List View
ℹ️ Displays all the qualifying Transactions, grouped by Transaction Type and ordered by Priority.
Priority transactions are displayed in red.
If a group name is appended by (Admin), it can only be approved in the group by an Admin.
- Header: Lists the Transaction Type.
- Detail: Lists the following information in groups:
- Transaction number (e.g. Work Order number) | Customer NameReference
- Transaction number (e.g. Work Order number) | Customer Name
- Reference
- Transaction number (e.g. Work Order number) | Customer NameReference
Transactions Detail View
ℹ️ This view is active after a transaction is clicked on the Transaction List View.
Buttons Explained
- Back: Navigates back to Transaction List View.
- Actions
- Approve: Approves all the Manual and Limit checklist items. A green bar is displayed at the top of the screen indicating that the items are approved. Once approved the item is removed from the Transaction List View.
- Reset: Resets the Checklist (administrator access is required).
- Note: Individual items can be approved or declined using the context / action menu (see Context Menu below).
- Note: Approving the checklist items does not change the status of the transaction.
Fields Explained: Header
- Transaction Code and Number.
- Reference: The reference entered on the transaction.
- Company: Name of the Customer.
- Date: The transaction Date.
Tab Explained: Items
- The word Items with the number of items in brackets next to it (on the left).
- Grey bar: The currency (on the left) and the VAT Exclusive and Inclusive Totals of the transaction (on the right).
- #: The sequential number of the item on the transaction.
- Description: The item's description.
- QTY: The quantity of the item that is on the transaction.
- Unit Price: The unit price of each item.
- Total: The total value of the item (QTY x Unit Price).
- Note: If a note is added to an item on the transaction, it is displayed in blue below the item.
Tab Explained: Checklists
- A list of admin users who may approve all the items.
- A complete list of checklist items with icons that are colour-coded based on their approval status.
- Icon colours: Red: Waiting Yellow: ReadyGreen: Approved Grey: Declined

- Icon text: Indicates the Type of Checklist item as follows:
- M: Manual
- MH: Manual (Head)
- MM: Manual (Manager)

- A: Auto
- O: Override
- Icon colours: Red: Waiting Yellow: ReadyGreen: Approved Grey: Declined
- The line directly below each colour-coded checklist item displays a list of users or who may approve it, or the date if it was automatically approved.
Context Menu
ℹ️ The context menu, also known as the Action menu, is accessed by left clicking (or tapping) a checklist item.
- Approve: Approves the checklist item.
- Decline: Declines to approve the checklist item.
- Reset: Resets the checklist item. Administrator rights are required.
- Add Note: Adds a note.
Approval Email
- From the desktop app, an email can be sent to someone to approve a transaction. This email includes a link to open the transaction in the Mobile App.
