Production Planning - Tasks Tutorial
Overview
Production Planning assists organisations in managing all their production tasks. The Tasks View displays all the main tasks that are in the pipeline and shows the percentage complete, times, and durations.
These tutorials explain how to view and edit Tasks and display additional information.

How to Display a List of Tasks
- Navigate to Production Planning > Menu (button) > Tasks (as an example).
- Adjust the filters as required.
- Click View (button).
Editing Tasks
How to Edit the Start Dates
- Display a list of tasks.
- Select the entries you want to change. Use Ctrl left click to select multiple entries.
- Click Actions (button) > Batch Update.
- Select Start Date next to Update.
- Select a Date and Time from the adjacent blocks.
- Click Update (button).
- Confirm the change on the popup.
How to Edit the Finish Dates
- Display a list of tasks.
- Select the entries you want to change. Use Ctrl left click to select multiple entries.
- Click Actions (button) > Batch Update.
- Select Finish Date next to Update.
- Select a Date and Time from the adjacent blocks.
- Click Update (button).
- Confirm the change on the popup.
How to Change Task Statuses
- Display a list of tasks.
- Select the entries you want to change. Use Ctrl left click to select multiple entries.
- Click Actions (button) > Batch Update.
- Select Status next to Update.
- Click one of the Status buttons.
- Click Update (button).
- Confirm the change on the popup.
How to Lock a Task
ℹ️ Priority or maintenance tasks can be locked. This lock prevents their dates from being changed when bulk scheduling changes are implemented. Jobs are scheduled around the locked tasks.
- Display a list of tasks.
- Select the entries you want to change. Use Ctrl left click to select multiple entries.
- Click Actions (button) > Batch Update.
- Select Lock next to Update.
- Check the checkbox next to Lock to lock the selected tasks or uncheck the checkbox to unlock the selected tasks.
- Click Update (button).
- Confirm the change on the popup.
How to Update a Task's Description
ℹ️ This action updates the Task's Description if they are set using SQL.
It can also be used to update a task's description if the reference field on the underlying transaction (e.g. work order) was changed.
- Display a list of tasks.
- Select the Tasks you want to Update.
- Click Actions (button) > Update Description.
- Confirm the action on the popup.
How to Update Linked Timekeeping
- Display a list of tasks.
- Select the Tasks you want to Update.
- Click Actions (button) > Update Linked Timekeeping.
- Confirm the action on the popup.
How to Create or View Notes
- Display a list of tasks.
- Right click a task and select View / Edit Note from the context menu.
- A note editor will open. Any existing note is displayed and can be edited, else you can type a note on the blank space.
How to Create an NCR
ℹ️ The NCR category must be set under General Settings.
- Display a list of tasks.
- Right click a task and select Create an NCR from the context menu.
- Complete the form that is opened.
- Click Create (button).
Filtering Views
How to View Tasks by their Due Dates
- Navigate to Tasks.
- Select a Date Option next to Set (other than No Date).
- Click the Radio Button next to Job Due.
- Click View (button).
How to View Tasks by their Required Dates
- Navigate to Tasks.
- Select a Date Option next to Set (other than No Date).
- Click the Radio Button next to Job Req.
- Click View (button).
How to View Active Tasks
ℹ️ The Active Radio Button that works with the Date option considers a task to be active only if there is a timekeeping record.
- Navigate to Tasks.
- Select a Date Option next to Set.
- Click the Radio Button next to Active.
- Check the Active (status) checkbox.
- Uncheck the Complete (status) checkbox.
- Click View (button).
How to View Task Statuses by Date
- Navigate to Tasks.
- Select a Date next to Set.
- Check one of the checkboxes next to Active or Complete.
- Click View (button).
How to View Tasks for a Specific Stage
- Navigate to Tasks.
- Select a Date next to Set.
- Click one of the four Radio Buttons next to the date fields (optional).
- Click the block next to Stage and select the Stage you want to view.
- Click View (button).
Viewing Detailed Information
How to View or Edit All the Components of a Job (Tasks)
- Display a list of tasks.
- Right click an entry and select View / Edit Job from the context menu.
- You will be switched to the View/Edit Job interface. This view lists all the stages the job must go through, along with the expected times, quantities, and progress.
How to View the Planning Board
- Display a list of tasks.
- Right click an entry and select View on Board from the context menu.
- You are switched to Board View, and the Job/Task you were on is highlighted in black.
How to View a Task's Timekeeping
- Display a list of tasks.
- Right click an entry and select Open Timekeeping from the context menu.
- You are switched to Timekeeping View with a filter applied that only shows materials for the Job/Task you clicked.
- Note: The Timekeeping View shows the Duration and Quantities completed (depending on certain settings).

How to View the Job's Variances
- Display a list of tasks.
- Right click an entry and select Open Cost of Sales from the context menu.
- You are switched to Cost of Sales with a filter applied that only shows materials for the Job/Task you clicked on.
- Note: The columns Variance and Var % show any variances.

How to View the Original Transactions
- Display a list of tasks.
- Right click an entry and select Open Transaction from the context menu. The source transaction (e.g. Work Order) is opened.
How to View a Linked NCR
- Display a list of tasks.
- Right click an entry and select Open NCR from the context menu.
