Timekeeping View
Overview
Production Planning assists organisations in managing all their production tasks.
The Timekeeping view displays all the timekeeping records.
Navigation: Main Menu > Production > Production Planning > Menu (button) > Timekeeping

List View
Buttons Explained
- View: Generates a list of jobs based on the selected filters.
- Edit: Allows the Quantity fields to be edited.
- Actions: Performs the action on all the selected records. The options are:
- Batch Update: Allows users to perform an action on all the selected records once the information is supplied and Update (button) clicked.
- Status: Changes the item's Status to the one selected on the dropdown list.
- Completed Qty: Changes the Completed Quantity to the quantity typed in the block.
- Spoiled Qty: Changes the Spoiled Quantity to the quantity typed in the block.
- Batch Update: Allows users to perform an action on all the selected records once the information is supplied and Update (button) clicked.
- Menu:
- Reset Data Filters: Resets the connected filters.
- Views: Switches to the different views:
- Dashboard: A visual representation of all the Stages.
- Jobs: A list of all the Jobs in the queue.
- Tasks: This view displays all the Tasks in Planning in a grid view.
- Materials: A list of all the Materials needed and their Availability.
- Outwork: A list of all the outsourced jobs and their Statuses.
- Board: This view is an ordered list of the production Stages - each Stage containing an ordered list of Tasks or Groups (Task Packages).
- Gantt: A detailed list of every Stage or Job, listing all the tasks and times accompanied by a visual representation.
- Timekeeping: A list of all the Timekeeping Records.
- Settings
- Edit Stages: Creates the stages that are displayed on the graph.

Filters Explained
- Set: Allows users to select a date option (e.g. Today, This week, or to select No Date to view all the records).
- Arrows: Adjusts the dates in the direction of the arrows.
- Date ... to: Allows users to customise the dates.
- Stage: A dropdown list allowing users to select All or a specific Stage.
- Show: A dropdown list allowing users to filter the records to those that are Active, Complete or had their quantities changed (Qty Adjustments).
Fields Explained
- Field Chooser (*): Allows users to add or remove columns.
- ID: The system-generated number for the Timekeeping record.
- TK Status: The colour-coded status of the timekeeping record. By default, any notes are displayed in blue directly below this field.
- Trans No.: The system-generated number allocated to the transaction.
- Item No.: The system-generated number allocated to the item.
- NCR No.: The system-generated number allocated to the Non-Conformance Report.
- Description: The job / item's description.
- Customer: The customer who requires the job.
- Text1: A user-defined input field (as per the Transaction Type). The captions will be set if only one Transaction Type is enabled for these modules.
- Text2: A user-defined input field (as per the Transaction Type). The captions will be set if only one Transaction Type is enabled for these modules.
- Text3: A user-defined input field (as per the Transaction Type). The captions will be set if only one Transaction Type is enabled for these modules.
- Caption: The estimate's caption.
- Stage: A description of the stage.
- Task: A description of the task.
- Tracking: A description of the tracking.
- Cost Centre: The cost centre's code.
- Workstation: The workstation's code.
- Reference: The reference filled in on the source document.
- Override by: The User who overrode the timekeeping record.
- Operator (Code): The User whose timekeeping record it is.
- Day: The day of the week.
- Week: The week number.
- Operator (Full Name): The full name of the User whose timekeeping record it is.
- Start Date: The Start Date of the timekeeping record.
- @ (Start Time): The Start Time of timekeeping record.
- End Date: The End Date of the timekeeping record.
- @ (End Time): The End Time of the timekeeping record.
- Completed: The quantity of the item that was completed. This field is Editable if Edit (button) is clicked.
- Spoiled: The quantity of the item that was spoilt. This field is Editable if Edit (button) is clicked.
- Team: The number of team members.
- Hour/s: The duration of the job.
- Km: The mileage that was travelled for the job.
- Approval Note: Any note the User who approved the transaction wrote.
- Checked by: The name of the User that checked the timekeeping record and the date.
- Menu (...): A context menu that can also be accessed by right clicking a line item.
- View / Edit Job: Opens the job on the Job board.
- Open Transaction: Opens the related transaction (e.g. Work Order).
- Open Cost of Sales: Opens the Cost of Sales for the linked item or service.
- Open Timekeeping: Opens the Timekeeping record in the Timekeeping module.
